- Confirm passes, filming access and organiser requirements.
- Agree photography, video formats, asset quantities and usage.

02 / During the event
- Capture the clean stand, signage, products and team before opening.
- Record wide atmosphere, medium interactions and close details.
- Capture priority demonstrations and speaker sessions to the schedule.
- Record clear, concise interviews with usable sound.
- Include sponsor visibility and agreed partner requirements.
- Confirm participant permissions for directed interviews and demonstrations.
- Review priority moments with the on-site contact before wrapping.
03 / After the event
- Check names, roles, product descriptions and captions before publishing.
- Prepare a highlight recap and individual clips for key stories.
- Organise delivered assets by subject, format and intended channel.
- Plan social posts, website updates, email and approved press assets.
